Coordinating a headshot program across 200 locations

Now in its fourth year, our work with a national financial-services organization supports a headshot program spanning 12,000 employees across 200 locations. Alongside location-based sessions, we provide headshot booths at larger company events attended by several hundred people throughout the year.

Setting the visual standard

Before the project rolls out, we agree a specific lighting recipe, image crop, background color and focal length with the client. These specifications give photographers a shared approach to follow so the portraits meet the client’s brand standards. We also agree file naming and organization, making the final images straightforward for the client’s teams to store and find.

Managing the local arrangements

The client provides a list of managers at its locations. Working in partnership with the corporate office, our project managers contact each location, arrange shoot dates and times, and confirm how many people will be photographed.

We send shoot-preparation information to each location, then assign and brief the photographer on the agreed visual specifications and local arrangements. The process brings location-by-location planning under one project team.

Retouching and secure delivery

Our team manages the retouching process and prepares the final images to the agreed specifications. The project workflow calls for final images to be delivered by secure upload within seven days of the shoot, using the agreed file naming and organization.

From the first visual specification through scheduling, photography, retouching and delivery, Headshot Booker handles the project through to completion.

Consistent headshots for a distributed team

An infrastructure company needed headshots and workplace photography that looked consistent across a geographically dispersed team. Different photographers were involved in different regions, and the client wanted the images to work together on its website. We helped define the look and coordinate photography around the client’s locations and working schedules.

The challenge

Consistency needed to carry from one shoot to the next. The planning covered the background, portrait framing and clothing, alongside the practical demands of photographing people at an active work site. The client also needed help coordinating staff who were spread across different locations, with many days spent out of the office on projects.

Our approach

We discussed background options and the crop of the portraits, proposed a joint coordination call, and worked through onsite access, protective equipment and shot list priorities with the photographer. Headshots and site photography were part of the same assignment, so planning needed to account for both.

Once the initial shoot was complete, we moved on to the next locations to match its visual style. Photographers always receive visual references based on the aesthetic agreed with the client. Images are chosen by the client and sent to our retouching team to add the agreed-upon background and complete the images in post-production.

The result so far

The wider program is ongoing. Later planning has focused on coordinating dispersed staff and exploring whether teams can gather at one location and time. The work so far shows how a defined visual brief and consistent visual references can support consistency as a distributed team is photographed over time.
